BIP Replacements Tab

The Replacements tab lets clinical teams manage acquisition goals that replace maladaptive behavior with appropriate skills. It supports skill goal setup, STO/LTO progression, first-trial replacement workflows, session-note readiness, charting, and print controls for the BIP output.

  • Users with BIP edit access (manage_bips): Can create, edit, discontinue, delete, and regenerate replacement plans and objectives.
  • Users with BIP view access (view_bips): Can review replacement plans, objectives, progress, and charts in read-only workflows.
  • Example clinical/admin users: Superadmin, Admin, Owner, Manager, and Analyst users commonly interact with this feature depending on the permissions assigned at the location.
  • Rule 1: A replacement plan requires a goal name before it can be created.
  • Rule 2: Required setup includes baseline level, baseline date, and the plan status. Default intensity values are captured during creation so the plan meets backend validation requirements.
  • Rule 3: Replacement plans do not use maladaptive-only fields such as timeframe, baseline timeframe, unit type, setting event/antecedent, hypothesized function, intensity key, or topographical definition.
  • Rule 4: Replacement plans can be marked as required for RBT notes. This helps identify goals that should be included when an RBT note is created.
  • Rule 5: Replacement plans can be marked as First-trial Replacement.
  • Rule 6: If First-trial Replacement is enabled, the plan must include at least one first-trial step. Each step requires a description and is stored in order.
  • Rule 7: Turning off First-trial Replacement warns the user that existing first-trial steps will be removed.
  • Rule 8: A goal does not appear ready for session-note use until at least one STO or LTO has an initial date and is marked In Progress.
  • Rule 9: Only one STO should be in progress in the active STO sequence. When a user starts an STO, the system can master previous eligible STOs, reset later eligible STOs, and preserve final/manual statuses such as Mastered, Modified/Revised, and Discontinued.
  • Rule 10: Mastered objectives require an initial date. Adding an initial date can prompt the user to move the objective to In Progress; adding an end date can prompt the user to move it to Mastered.
  • Rule 11: Marking an objective as Modified/Revised ends the current objective and creates a follow-up objective with the next start date.
  • Rule 12: Marking a plan as Discontinued sets current progress to Discontinued and also discontinues objectives that are currently In Progress.
  • Rule 13: Deleting a plan permanently deletes the plan, its objectives, and any related first-trial records. The UI recommends changing status instead of deleting when the goal should remain part of the record.
  • Rule 14: The objectives table and the chart can each be shown or hidden in the printed BIP output.
  • Rule 15: Bulk objective creation can add or replace STOs and can optionally create an LTO. If a new LTO is created when one already exists, the existing LTO is replaced.

Scenario A: Create a new replacement plan

  1. Open the patient’s BIP.
  2. Go to the Goals tab and find the Replacements section.
  3. Click Add Replacement.
  4. Enter the goal name and added date.
  5. Complete the baseline information.
  6. Choose whether the goal is required for RBT notes.
  7. Click Save.

Scenario B: Create a first-trial replacement plan

  1. Create or open a replacement plan.
  2. Select First-trial Replacement.
  3. Add at least one first-trial step with a clear description.
  4. Save the plan.
  5. If the plan is edited later and first-trial is turned off, confirm whether the existing steps should be removed.

Scenario C: Prepare the goal for session notes

  1. Open the replacement plan from the list.
  2. Click Create objectives in bulk or add STO/LTO objectives manually.
  3. Set the active STO’s initial date.
  4. Set the active STO status to In Progress.
  5. Review any confirmation prompts that update earlier or later STOs in the sequence.

Scenario D: Manage reporting and printed output

  1. Open the plan detail view.
  2. Use show objectives table in bip print to include or exclude the plan’s objective table from the printed BIP.
  3. Use show chart in bip print to include or exclude the plan chart from the printed BIP.
  4. From the Replacements list, use Regenerate All Replacement Data Charts when weekly chart data needs to be recalculated for a selected date range.
  • Q: What happens if First-trial Replacement is turned on but no steps are added?
    • A: The plan setup is incomplete and must include at least one first-trial step before it can be saved.
  • Q: What happens if the user turns off First-trial Replacement later?
    • A: The application warns that existing first-trial steps will be removed, and the user can cancel before the change is applied.
  • Q: What happens when an STO is marked Modified/Revised?
    • A: The current objective is ended and a follow-up objective is created so the team can continue the replacement goal without losing the history of the revised objective.

  • Superadmin: Has all permissions, including the ability to manage other admins.
  • Admin: Full access to all features and settings.
  • Owner: Similar to admin, but scoped to their own locations.
  • Manager: Access to administrative features but cannot manage other admins.
  • RBT/Analyst: Providers who log sessions and view their own data.
